Research proposal or grant proposal

These two terms get used interchangeably, and the mismatch causes real problems. A research proposal argues that a defined question deserves study and that your design can answer it. It is what a thesis committee, a course instructor, or a PhD admissions panel reads. A grant proposal argues that a specific funder's money should go to your project, scored against that funder's own review criteria (need, approach, feasibility, team, impact).

A proposal written to answer a course instructor's question can still fail if it is later repurposed for a funder without rebuilding it around that funder's criteria. The two documents share a spine, not a body.

The seven-part structure a sample should show

Academic writing centers converge on roughly the same seven parts, in the same order. This structure is adapted from the University of Southern California Libraries' guide to writing a research proposal, cross-checked against comparable graduate-school guidance from UCLA and Yale.

The three sections that decide whether a proposal gets approved are the introduction, the methods, and the preliminary implications, because that is where a reader checks whether the question, the design, and the claimed payoff actually line up. A polished literature review cannot rescue a methods section that cannot answer the stated question.

A compact worked example

This is a fictional illustration, not a template to fill in with your own nouns swapped in.

Weak version: "Remote work has changed how teams collaborate, and this is an important area to study. This research will investigate remote work practices at several companies."

That premise names a topic, not a question. It gives a reader no way to judge whether the design fits, because nothing has been claimed yet.

Stronger version: "Managers report that asynchronous communication tools reduce meeting time but increase decision delay on interdependent tasks. Existing studies measure meeting time or decision speed separately; none link the two within the same teams. This project will test whether teams that increase asynchronous-tool use also show a measurable increase in cross-functional decision latency, using six months of calendar and ticket-system data from twelve software teams, compared against a matched set of twelve teams with stable synchronous-communication norms."

The stronger version is not longer because it uses more words to sound rigorous. It is longer because it answers more of the questions a reader will actually ask.

Where proposal samples mislead you

A sample proposal, especially one found on a general search, was written for a different field, a different committee, and a different stage of study. Two specific ways this backfires:

Borrowed scope. A sample from a lab-based field will structure feasibility around access to equipment and materials. A sample from a field-based or archival field will structure feasibility around access to sites, records, or participants. Copying the wrong one leaves a feasibility gap a committee will find immediately.

Borrowed certainty. Sample proposals, especially ones published as "successful" examples, tend to state their expected outcome more confidently than the actual design supports. A proposal that reads as a foregone conclusion invites the obvious question: if the outcome is already known, why run the study.

Proposal-to-manuscript drift

Most research proposals describe a study that has not happened yet. By the time the resulting paper is drafted, months or years later, three things commonly move without anyone deciding to move them:

The objective narrows or shifts, because the feasible version of the study turned out to be different from the proposed one, and the paper never explains the change.

The methods description in the manuscript no longer matches what the proposal said would happen, usually because a planned analysis was dropped or a substitute was added under time pressure.

The significance claim in the paper's introduction is inherited almost unchanged from the proposal, even though the actual results support a narrower version of that claim.

None of these are dishonest on their own. They are what happens when a document written to persuade a committee gets reused, largely unedited, to frame a paper written to report what actually happened. A pre-submission check on the finished manuscript is where this shows up: a claim in the introduction that the results section does not fully support, or a methods paragraph that still describes the originally planned design rather than the one that was run.

  • the introduction states a specific, answerable question, not a topic
  • the literature review argues a gap, not just a list of what exists
  • the method section could let a stranger reproduce your process
  • the preliminary implications section states what a null or partial result would mean
  • citations are complete and in your discipline's required style

Think twice if:

  • the proposal reads as though the outcome is already known
  • the method section restates the introduction's problem instead of specifying a process
  • feasibility (access to data, sites, participants, or equipment) is asserted rather than shown
  • the proposal was adapted from a funder-specific sample without rebuilding it around your actual reader
